Standard Services
Mechanical Operations
- Maintain and operate all mechanical equipment in first-class condition
and maintain a high level of tenant comfort.
Central Engineering - Once a year, the property will be assessed by an
off-site engineering assessor who will spend two to three days at the
facility and grade it on seven critical areas. He works closely with the
Engineering Manager on energy management programs, employee development
programs and any other areas where improvement can be obtained. Our
on-site engineering operations, combined with this central engineering
function, saves our properties, on the average, as compared to non-Hines
properties, approximately 25% per year in energy costs.
Operations Assessments - Property and facility operations will be
assessed once every 18 months by a Regional Operations Assessor.
Routine Maintenance - Expeditiously handle maintenance calls. This
includes hot/cold calls, plumbing, electrical, HVAC and specialized
requests as needed.
Indoor Air Quality - We have developed an industry-leading manual for
our use in managing Indoor Air Quality programs in different facilities.
The use of this policy will be made available to all our clients for whom
we manage property.
Energy Management - Develop and implement energy management programs
for cost savings and control of utility consumption.
Life Safety - Management of this critical service includes equipment
testing, tenant fire drills, fire warden training and building staff
training.
Cleaning - Provide inspections and administration of the cleaning
contract for the property.
Parking Management & Maintenance - Manage, either in-house or through
a third-party operator, parking facilities, including contract parking and
visitor parking.
Security - Develop and administer security requirements. This will
include access control, incident investigation, emergency response and
after-hours escorts.
Elevator Maintenance - Administer elevator maintenance contract.
Inspect elevator equipment and communicate with contractor to ensure
reliable elevator operation.
Landscaping - Meet weekly with landscape contractor to inspect
property landscaping and make adjustments to landscape program as needed.
This will include exterior landscaping, irrigation and interior plant
programs.
Pest Control - Administer pest management contract for the property.
Accounting - Prepare required reporting information to client and meet
as needed to explain variances. This includes budget preparation.
Tenant Relations - Maintain contact with all tenants in the property.
Training - Provide on-site training for all management and engineering
personnel.
Window Washing - Because of substantial changes to federal regulations
in recent years, proper management of window washing procedures has become
extremely complex. Hines Management Services will oversee window washing
contractor and assure compliance with current regulations.
MSDS Compliance – Hines Management Services will assure compliance
with federal regulations pertaining to all potentially hazardous materials
that are stored inside a property, including proper disposal of hazardous
waste.
Property Inspections - Two times a year, Senior Management will, along
with the Property Manager, inspect the property from top to bottom.
Chlorofluorocarbons – Hines Management Services has developed a
comprehensive program to lead all our personnel through the rapidly
upcoming conversion from Freon. This program encompasses over 160,000 tons
of chilling capacity operated by Hines throughout the nation.
Recycling - Owing to the breadth of our Property/Facility Management
responsibilities, we manage numerous recycling programs throughout our
properties in the United States and can establish, should the client want
it, a recycling program for the property.
Building Keying System – Hines Management Services will manage the
building’s keying system, including on-site key cutting.
Operations Programs – Hines Management Services maintains and keeps
updated Operations Programs on key aspects of the business.

Other Services
Hines Management Services can, in addition to the traditional property
operations services listed above, provide the following services
(primarily intended for single-tenant buildings or for major tenants in
multi-tenant buildings.)
Employee Office Moves – Hines Management Services can oversee all aspects
of client’s employee moves, including furniture, telephone service and
computer needs.
Space Planning – Hines Management Services can manage, via either an
in-house space planning staff or through outside architectural firms,
client’s office modifications.
Construction Management – Hines Management Services can supervise all of
client’s construction needs, including office space build-out and base
building modifications.
Management of Non-Building-Standard Equipment – Hines Management Services
can maintain for client non-building-standard equipment such as
computer-related air conditioning systems.
Conference Facility Management – Hines Management Services can take
requests for conference room use, schedule meetings and prepare rooms for
occupancy.
Food Service Management – Hines Management Services will, if client
wishes, manage client’s food service operation. This will include
oversight of a third-party operator as well as maintenance of kitchen
equipment.
UPS Systems – Hines Management Services can maintain client’s
Uninterruptible Power Supply system, including emergency generator
operation and maintenance, power shutdown tests and battery backup
systems.
Health Club – Hines Management Services can oversee client’s on-site
health club operations.
Audio Visual Equipment – Hines Management Services can oversee the
maintenance and operations of client’s audio visual equipment.
Shipping and Receiving – Hines Management Services can manage the shipping
and receiving operation to ensure prompt transfer of requests and
deliveries.
Reproduction, Graphics and Photography Services – Hines Management
Services can oversee the management of all aspects of client’s
reproduction, graphics and photography services.
Mail Services – Hines Management Services can oversee the management of
client’s mail distribution.
